Question 1

What is the Apex Sales Automation System?

Accepted Answer

It's your always-on sales team. Every call to your Apex number, or your forwarded business line, is answered in a natural voice, qualified and booked straight into your calendar, 24/7. Website visitors can also tap Talk To Us Now and talk live in their browser. You close the deal yourself, hand it to your team, or let a vetted Apex closer close it for you.

Question 2

How fast are callers answered?

Accepted Answer

Instantly, day or night, including weekends and holidays. There's no hold music and no voicemail: every caller talks to your system straight away and can book on the spot.

Question 3

Can I keep my existing number?

Accepted Answer

Yes. Forward your current business line to your Apex number (all the time, after hours, or when you're busy), or use the Apex number directly in your ads, Google Business profile, flyers and website.

Question 4

Can I try it before I apply?

Accepted Answer

Yes. Tap Talk To Us Now on this site, or call our number. You'll talk to the same system your leads will, and you can book your free onboarding walkthrough on the call.

Question 5

Will it sound natural to my prospects?

Accepted Answer

Yes. Every call uses a premium, human-sounding voice that replies naturally and quickly, and it speaks only from your own Knowledge Base. You choose the voice that fits your brand, then hear exactly that voice in a live test call before anything goes to your prospects.

Question 6

How are appointments booked?

Accepted Answer

Qualified leads pick a time that suits them and the appointment syncs to your Google Calendar with a meeting link. Prospects get confirmations, calendar invites and reminders in your brand, with your name and logo.

Question 7

Who closes the deals?

Accepted Answer

You choose. Take the calls yourself, share them across your team with automatic round-robin, or add an on-demand Apex closer. Apex closers work on 15% commission on orders of $3,000+, paid only when they close.

Question 8

What does it cost?

Accepted Answer

$350 per month, paid upfront for each billing cycle, with 200 call minutes included and no setup fee. After the 200 minutes, every extra minute is $0.25, bought upfront as top-ups of 100 minutes or more. Each top-up is charged separately and isn't part of the $350. Extra phone numbers are $5/month.

Question 9

What happens if I run out of minutes?

Accepted Answer

Calls pause at 0 minutes until you top up. Below 20 minutes you'll see a Buy more minutes banner in your dashboard (choose any amount from 100 minutes, the price is calculated for you) and get an email with a one-click top-up. Minutes are added as soon as the invoice is paid, and you get a receipt.

Question 10

Do unused minutes carry over?

Accepted Answer

No. Your 200 included minutes and any top-up minutes expire at the end of each billing cycle. On your renewal date your balance resets to 200 minutes, and your monthly report shows minutes used, top-ups bought and minutes that expired.

Question 11

How fast do you call new leads?

Accepted Answer

In under 1 minute. Every new lead from your website forms, ads or CRM gets a natural, human-sounding call back within a minute, 24/7, and is qualified and booked into your calendar on the call. We also make reminder and no-show calls automatically.

Question 12

How do I know my call forwarding works?

Accepted Answer

In your dashboard, open Phone lines, tap Test my forwarding and call your business number from any phone. Within seconds you'll hear "Forwarding confirmed" and the card turns green. Test calls never use your minutes, and if forwarding still isn't confirmed 2 days after your line is set up, we send you a friendly reminder.

Question 13

Do I need to change my phone number or CRM?

Accepted Answer

No. Keep your existing business numbers and we'll forward or port them. Your leads and bookings can also flow into your CRM through webhooks and lead forms.

Question 14

How do reminders reduce no-shows?

Accepted Answer

Every booking gets 5 email reminders in your brand: 3 days, 24 hours, 3 hours, 1 hour and 10 minutes before. The 24-hour email has an "I'll be there" button so prospects confirm their spot, plus Add to calendar and reschedule links. If someone still hasn't confirmed 3 hours before, you get an alert so you can reach out.

Question 15

What will I know about a prospect before the call?

Accepted Answer

Every conversation is analyzed into the prospect's pains, desires, objections, buying signals and the best angle to close. One hour before each meeting, whoever takes the call gets a Prep-to-close brief by email and app alert: how to open, questions to ask, objection answers and the close.

Question 16

What is the Apex Closers Calendar app?

Accepted Answer

A simple calendar app for your phone, included free once your account is live. It shows today's and upcoming appointments, alerts you the moment someone books, reminds you 30 and 15 minutes before each call, sends a 7am agenda, and shows a number on the app icon for new bookings. No app store needed.

Question 17

How do I install the calendar app?

Accepted Answer

Open the Calendar page in your dashboard and scan the QR code with your phone. On iPhone, open it in Safari, tap Share, then Add to Home Screen, then open the app and tap Turn on booking alerts. On Android, tap Install and allow notifications.

Question 18

How do I share the calendar with my team?

Accepted Answer

From the Calendar page, create a view-only link per person and tap Send, or use Invite team to paste several names and emails at once. Each person gets a branded email with an Open button, QR code and install steps; if they haven't opened it after 48 hours we send one friendly reminder. You can remove any link any time and see who's invited, opened and installed.

Question 19

How are meetings shared between my staff?

Accepted Answer

Turn on round-robin by adding people to the rotation. Each new booking goes to whoever has the fewest upcoming meetings, and only that person gets the booking email, alerts and the prep brief. Staff can switch their app between All meetings and My meetings, set time off so new bookings skip them, and you can reassign any meeting in one tap.

Question 20

Can I see how each team member performs?

Accepted Answer

Yes. The Team panel shows a leaderboard for this week, 30 days or all time: meetings assigned, held, no-shows, deals won, close rate and revenue. Every Monday you also get a scorecard by email, and every phone celebrates when a deal is marked won.

Question 21

How do I see the value I'm getting?

Accepted Answer

Your dashboard shows your show rate before and after reminders and the meetings they saved. On the 1st of every month you also get a report with calls answered, appointments booked, show rate, deals won, revenue and your call minutes usage.

Question 22

What do I sign?

Accepted Answer

A simple Client Services Agreement, e-signed online during onboarding. It spells out the $350 monthly fee, the 200 included minutes, paid top-ups and $5 extra numbers, and you tick a separate box confirming the minutes and top-up charges before going live. It's month to month with 30 days' notice.
